Our advice for Birmingham event production and organisers

The right venue can make a huge difference to your event. Some spaces are designed with conferences and live streaming in mind, while others need a little more planning to get the best results.

Before booking a venue, we’d recommend checking:

  • Reliable internet with a good upload speed
  • Enough space for cameras, lighting and staging
  • Clear sight lines for both your audience and the cameras
  • Easy access for equipment and crew
  • Sufficient power where it’s needed
  • Any venue restrictions or curfews
  • Accessibility for your speakers and guests

A quick site visit with your production team can answer these questions early, helping you avoid unexpected surprises on event day.

We’ve had the pleasure of working in many fantastic venues across Birmingham, each offering something a little different.

Some of our favourites include:

Whether you’re planning a board meeting for 50 people or a conference for 5,000 delegates, there’s a venue to suit almost every event.

Every city has its quirks, and Birmingham is no different. A little local knowledge can save a lot of time, which is why we always plan well before event day.

Our crew will think about things like:

  • Venue access and loading arrangements
  • Parking for crew and production vehicles
  • Internet connectivity and backup options
  • Rehearsal time for speakers and presenters
  • Camera positions and audience sight lines
  • Building restrictions and venue guidelines
  • Realistic setup times and contingency planning

It’s often these behind-the-scenes details that make the difference between a good event and a great one.

The best advice we can give? Plan early, rehearse and never leave the technical details until the last minute. Here are a few tips we share with clients before every event.

  • Visit the venue before event day and walk through the running order.
  • Leave plenty of time for deliveries, setup and rehearsals.
  • Test presentations, videos and microphones before your audience arrives.
  • Build a little flexibility into the schedule, things nearly always take longer than expected.
  • If you’re live streaming, always have a backup internet connection.
  • Give your speakers time to rehearse. A confident presenter makes every event more engaging.
  • Invest in good audio. People will forgive the odd camera movement, but poor sound is much harder to ignore.
  • Keep your production team involved from the planning stage, they’ll often spot practical solutions that save time later.

Birmingham is an incredible place to host an event, but it’s also one of the busiest and most challenging cities in the UK. After producing events and webcast for more than 20 years, we’ve picked up a few tricks that can save time, reduce stress and help your event run that little bit smoother.

The best events rarely happen by accident. They happen because they’re well planned, well rehearsed and supported by people who care about getting the little details right.

Whether you’re organising a Microsoft Teams Town Hall, AGM, conference or company update, involving your production team early almost always leads to a smoother event, a happier audience and fewer last-minute surprises. It’s advice we’ve been giving since 1999, and it still holds true today.
