London event production company WaveFX

Why WaveFX?

Great events don’t happen by accident, they’re carefully planned, rehearsed and produced.

Since 1999, WaveFX has helped organisations deliver conferences, company updates, product launches and live broadcasts across the capital.

We bring filming, live streaming, sound, lighting and AV together under one production plan, with clear responsibilities and timings from the start.

Before event day, our crew coordinates with the venue, tests every essential system and prepares backup equipment. On site, we manage the cues, cameras, audio and broadcast while your team concentrates on the speakers, guests and message.

Our Services

London events can involve several suppliers, tight venues and even tighter schedules. We bring filming, live streaming, audio, lighting, AV and graphics together as one coordinated production.

Tell us what the event needs to achieve, where the audience will be and what the venue already provides. We’ll then scope the right level of support, from a self-contained camera crew to a complete production team managing the stage, screens, sound and broadcast.

For a small leadership meeting, we can arrive with a compact crew and minimal equipment. For a major conference or company-wide broadcast, we can manage the complete technical production alongside your venue and internal team.

We know London

London offers almost every kind of event space, from major conference centres and corporate offices to hotels, historic buildings and temporary venues. It also brings strict access times, limited loading space and busy streets into the production plan.

Having worked across Westminster, the City, Canary Wharf and Kensington, our crews understand the importance of confirming routes, loading arrangements, venue rules and technical requirements before event day.

For a board meeting, conference or live broadcast, we coordinate the crew, equipment, venue contacts and timings in advance. Once on site, we manage the complete production through setup, rehearsals and the live event.

Why London Teams Work With WaveFX

In London, the venue is only part of the equation. Delivery routes, fixed loading slots, building security, local traffic and restrictions inside historic properties can all affect how the production comes together. After more than 25 years producing events across the capital, we factor these conditions into the plan from the outset.

Working Across the Capital: We confirm vehicle details, loading times, equipment routes, crew accreditation and venue procedures before anyone sets off. We also plan for the things that could cause delays and bring essential backup equipment with us rather than leaving it on the other side of London.

Five London venues we know and rate:

Each space needs a different production approach. A hotel ballroom, historic hall, corporate office and purpose-built conference venue will all shape the staging, sound, lighting, camera positions and crew schedule differently.

Keeping Business Communications Clear: A Microsoft Teams Town Hall, CEO broadcast, AGM, shareholder meeting or company update needs more than functioning technology. Speakers need to feel prepared, presentations need to appear at the right moment and audiences need to see and hear every important message.

Our job is to keep all of those parts moving, ive on stage, in the room and online.

Our advice for London event production and organisers

A London venue may look perfect from the audience’s point of view but be difficult to produce in. Before signing the contract, make sure the space works behind the scenes too.

Ask the venue about:

  • A dedicated wired internet connection with guaranteed upload speeds
  • Loading-bay bookings, vehicle limits and permitted delivery times
  • The route from the loading area to the event room, including lifts and stairs
  • Available power supplies and any restrictions on lighting or rigging
  • Camera positions that preserve clear audience sight lines
  • Sound limits, agreed finish times and building curfews
  • Step-free access for speakers, guests and crew

A production site survey gives the team time to measure the room, test essential connections and agree the setup with the venue well before event day.

We’ve had the pleasure of working in many fantastic venues across London, each offering something a little different.

Some of our favourites include:

Whether you’re planning a board meeting for 30 people or a conference for 3,000 delegates, there’s a venue to suit almost every event.

London event production begins with getting the crew and equipment to the right place at the right time.

Our schedules account for:

  • Applicable Congestion Charge, ULEZ and other road-user requirements
  • Booked loading slots and vehicle access
  • Venue security, permits and crew accreditation
  • Restrictions inside listed and protected buildings
  • Bonded 5G backup when venue internet isn’t suitable
  • Realistic travel times across the capital
  • Early access for rehearsals and complete technical checks

By the time the cameras switch on, these details have already been dealt with.

For a London event, lock down the practical plan as early as possible:

  • Introduce your production lead to the venue team before event day.
  • Book the loading bay and submit crew or vehicle details in advance.
  • Test every presentation, video and font on the equipment being used during the event.
  • Add contingency time around setup, rehearsals and important agenda changes.
  • Use a separate backup connection for every live broadcast.
  • Let speakers rehearse with the microphones, stage screens and presentation controls.
  • Check the sound throughout the room and on the live stream—not just from the production desk.

The audience may never see this preparation, but they’ll experience the difference it makes.

London events reward early decisions. Venue access, loading slots, security approvals and crew travel can shape the schedule long before event day. After more than 25 years producing events across the capital, we know which arrangements need confirming first and where additional time should be allowed.

Production works best when it’s built into the event rather than added after every decision has been made. Early involvement gives the team time to inspect the room, review the running order, test the content and confirm the technical setup with the venue.

Whether you’re organising a Microsoft Teams Town Hall, AGM, conference or company update, speak to your production team as soon as the venue and date are taking shape. The principle has remained the same since 1999: the more that’s settled in advance, the less there is to solve when the audience arrives.
