Corporate Event Set Design Case Study

Napp Pharmaceuticals wanted to host an event that felt inspiring and engaging, but without hiring a large conference venue. The challenge was to transform a standard meeting room into a space that looked and felt like a purpose-built event stage, creating the right atmosphere for presentations, discussions and audience interaction.

Every element needed to work together, from the room layout and lighting to the audio and staging, while making the most of the space available. The goal was to give delegates an experience that felt professional, immersive and memorable, all within the familiar surroundings of their own offices.

Rather than treating the meeting room as a limitation, we saw it as a blank canvas. Working closely with the Napp team, we reimagined the space to create an event environment that felt completely different from the room delegates walked into that morning.

By carefully combining staging, lighting, audio and creative production, we created a setting that encouraged conversation, captured attention and gave every presentation greater impact. Our team managed the transformation from start to finish, making sure everything looked great, worked reliably and was ready well before the first guests arrived.

To bring the space to life, we provided:

• Creative stage and set design, transforming an ordinary meeting room with staging, branded backdrops, dynamic lighting and a layout designed to maximise audience engagement.
• Professional event production, including high-quality audio, presentation support and technical management to ensure every session ran smoothly from beginning to end.
• Multi-camera filming and content capture, recording the event from a variety of angles to create valuable on-demand content and highlights that could be shared long after the event had finished.

The result was an inviting event space that felt far removed from a traditional meeting room, proving that with a little creativity and careful planning, almost any space can become an impressive venue for live events.

What started as an everyday meeting room was transformed into a vibrant event space that welcomed 1500 delegates for 3 repeated presentations, discussions and networking that covered the globe.

The recorded content was repurposed into a library of on-demand videos and highlight clips, extending the value of the event well beyond the day itself. Most importantly, the transformation created an environment that energised the audience, encouraged participation and proved that a memorable event doesn’t always require a purpose-built conference venue.
