The Challenge

Benefex wanted to create an in-person event that would engage delegates from the moment they arrived while delivering a professional experience for both speakers and attendees. The production needed to support keynote presentations, live demonstrations and audience interaction, all without distracting from the event itself.

With multiple presentations, tight timings and high expectations, every technical element had to work together seamlessly. From audio and lighting to presentations and filming, the challenge was to create an event that felt effortless for everyone on stage while ensuring every moment was captured for audiences who couldn’t attend in person.

The Solution

Working closely with the Benefex team, we planned every stage of the production to ensure the event ran smoothly from the first presentation to the final applause. Our crew managed all of the technical elements behind the scenes, allowing speakers to concentrate on their presentations while creating an engaging experience for delegates in the room. By combining experienced event production with reliable technology, we delivered a professional event that looked great both in person and on camera.

To bring the event to life, we provided:

  • Complete corporate event production and technical management, including stage setup, presentation support, professional audio and carefully designed lighting to create an engaging experience for every delegate.
  • Multi-camera filming and live vision mixing, capturing keynote presentations, audience reactions and demonstrations from a variety of angles to produce dynamic, high-quality event coverage.
  • Event recording and content creation, producing broadcast-quality recordings that could be edited into on-demand videos and shorter clips for internal communications, training and future marketing.

The result was a seamless production that supported every aspect of the event, giving the Benefex team complete confidence that the technology was taken care of while they focused on delivering a memorable experience for their audience.

The Results

The event was delivered successfully from start to finish, providing a smooth experience for both delegates and presenters. Throughout the day, the WaveFX team supported 10+ keynote presentations, captured 8 hours of event footage and filmed 20+ speakers using a multi-camera production setup.

The recorded content was transformed into a valuable library of on-demand videos, extending the impact of the event long after it had finished. Careful planning, experienced crew and reliable technology ensured the production ran to schedule, allowing the Benefex team to focus on engaging their audience with complete confidence.

The Client's Perspective

“Jamie and the team are the best in the business. I wouldn’t even book a date for a livestream event without checking their availability!”

Sally Winter / Benefex

Our advice

The most memorable in-person events are the ones where the technology almost goes unnoticed. Investing time in the planning stage, rehearsing presentations and working closely with your production team helps everything run naturally on the day.

Think beyond the live audience too. Recording keynote sessions, panel discussions and product demonstrations gives your event a much longer lifespan.
